Executive Assistant to the Director of Operations
Birmingham, MI

Summary:

Our client is a private equity firm looking to add an energetic and organized Executive Assistant to the Director of Operationsto the team. The Executive Assistant to the Director of Operations will partner with Director of Operations to support a CEO and his family.

The Executive Assistant to the Director of Operations must have a Bachelor’s degree and experience working as an Executive Assistant

Executive Assistant to the Director of Operations Requirements:

  • Must have at least 1 year experience as an Executive Assistant
  • Bachelor’s degree required
  • Ideal candidate should have a minimum 1-3 years’ experience in a high level service organization (Hotel, Country Club, Resort, etc.); Director of Operations will train this person to his level of service.
  • Excellent Information Technology skills, including Internet research ability and an electronic household management tool; as well as working knowledge of presentation software packages, preferably Microsoft Office Word, Excel and PowerPoint and Apple Products
  • Experienced Personal Assistant at senior management level
  • Experience of electronic diary management
  • Experience of working in a Higher Education Environment
  • Exceptional interpersonal and communication skills, to enable professional interaction with a wide range of contacts, both internal and external
  • Ability to organize and plan own work
  • Excellent attention to detail, with the ability to maintain a high level of accuracy
  • A flexible, pro-active approach to work including the ability to priorities and re-priorities
  • Ability to work on own initiative
  • Ability to deal with sensitive information with discretion and to maintain confidentiality

Executive Assistant to the Director of Operations Description:

  • Manage household operations electronic schedule and calendar for the Director of Operations for any house and or home related activities. Daily schedule of family members. Travel plans and accommodations
  • Scheduling service providers and maintenance providers for every household need including vehicle maintenance
  • Produce documents, paper, reports and presentation for the Director of Operations. Maintain all office systems including data management and filing
  • Supervise and assist Director in the facilitation of all family events coordinating with suppliers and vendors
  • Work independently and prioritize work and schedule in a dynamic and fluid environment
  • Manage sensitive and private information and maintain confidentiality
  • Maintaining calendar – responding to invites
  • Drafting emails & letters and maintaining inbox
  • Processing all invoices and documentation with Director Operations of Family
  • Coordinate maintenance works, ensuring completion is on schedule and on budget
  • Conducting research requested by family
  • Proactively suggesting things of interest for family
  • Booking flights and hotels
