Our client is a private equity firm looking to add an experienced and competent Executive Admin / Personal Assistant to the team. The Executive Admin / Personal Assistant will partner with CEO in his personal responsibilities and business endeavors. The position entails serving as the CEO’s right hand providing support where ever needed including his two business offices and his home. 

The Executive Admin / Personal Assistant must have four (4) years of experience as an executive admin for the a C Level Executive

Executive Admin / Personal Assistant Requirements:

  • Minimum of 4 years of experience as an Executive Assistant reporting directly to Senior Management
  • Strong command of English language; outstanding written and verbal skills
  • Excellent references required from both current and previous employers
  • College Degree preferred
  • Detail oriented with exceptional organization and task management skills; superior client relationship management and incredible customer service skills a MUST!
  • Dedication to responsibilities; proactive and driven attitude; willingness to succeed in fast paced dynamic environment
  • Fast learner with ability to easily grasp and understand new concepts
  • Incredibly tech and computer savvy; proficiency in both MAC and PC systems as well as iPhone and other tech systems, including but not limited to Office, Internet and email, Drop Box, Outlook, etc.
  • Polished, poised and professional in both mindset and manor; use of utmost discretion at all  times
  • Flexibility in scheduling; willingness to work long hours and overtime, on call via iPhone 24/7
  • Willingness to adapt to an ever-changing and often unstructured environment; ability to manage challenging personalities and high stress environments

Executive Admin / Personal Assistant Description:

  • Managing heavy calendars and daily schedules for CEO and family
  • Ability to interact with multiple C-Level Executives on a daily basis on behalf of the CEO to coordinate meetings, conference calls, travel, etc.
  • Be the “face of the CEO’ when interacting with key stakeholders and strategic relationships both personal and professional
  • Management and constant upkeep of contact database and related information
  • Effectively communicating with constant follow-up
  • Coordinating travel arrangements with detailed itineraries
  • Collaborating closely with all other personnel effectively coordinating schedules
  • Serving as an essential component of the executive staff thru frequent communications
  • Handling all aspects of communication including emails and phone calls
  • Acting as a gatekeeper
  • Full execution of all tasks, both business and personal for CEO and family
  • Support the administration and execution of facilities, facilities personnel and hosted events
  • Overseeing all operations pertaining to event planning and special projects
  • Handling personal errands when necessary
  • Manage CEO’s Social Media Accounts
  • Personal shopping and concierge work
