Administrative Assistant 
Novi, MI 


Our client is a leading ceramic technology company directly supporting and supplying all major automobile manufacturers and heavy-duty diesel manufacturers with high-performance components for emission control systems. They are looking to add an experienced Administrative Assistant to the team. As part of the team, the Administrative Assistant will be responsible for several tasks involving interacting with customers, guests, and employees as well as detailed documentations.

The Administrative Assistant must have at least two years of admin experience in a corporate setting  

Administrative Assistant Requirements:

  • Ability to accurately type a minimum of 40 wpm
  • Strong proficiency in MS Office including Word, Excel, Lotus Notes, Outlook, Lotus Notes and PowerPoint (Intermediate Level Required)
  • Task oriented with strong sense of priority and ability to manage multiple tasks
  • Ability to effectively prioritize and execute tasks in a fast-paced environment
  • Must have knowledge of internal/external customer, employee, and vendor relations
  • Excellent written and verbal communication skills. Communicate with tact and professionalism through various communication channels
  • High level of integrity and confidentiality
  • Ability to deliver and receive positive and negative feedback in a professional manner
  • Accountable for individual goals as well as have the ability to work in a team environment
  • Ability to receive instruction and implement information quickly
  • Must be able to work with a high level of autonomy
  • Embrace a changing business environment
  • Knowledge of office procedures and machines
  • Must possess good telephone and business etiquette skills

Administrative Assistant Description:

  • Responsible for answering all incoming calls, greeting visitors in a prompt and courteous manner
  • Reading, researching and routing correspondence as well as collecting and analyzing information
  • Preparing letters, documents, databases and presentations for management
  • Data-entry and other tasks for any department when needed
  • Responsible for ordering, receiving and invoicing of inventory as well as other purchased goods and services
  • Ensures operation of equipment by completing preventive maintenance requirements, following manufacturer's instructions, troubleshooting malfunctions, calling for repairs, evaluating new equipment and techniques
  • Prepares and reports account payables and expense reports to supervisor for approval
  • Responsible for the accuracy and efficiency of current administrative systems and procedures
  • Analyzes administrative procedures and recommends reasonable system modifications and improvements to supervisor
  • Assist management with compiling information for annual budget and financial records
  • Schedule and coordinate travel itineraries for staff and visitors
  • Coordinates and participates in conferences and various meetings
  • Responsible for coordinating all company events
  • Responsible for coordinating and completing off-site company business
  • Must be able to communicate and offer opinion to all levels of the organization as well as vendors and customers
  • Performs related and other duties as deemed necessary by Supervisor
